Couchiching Family Health Team
Position: Executive Assistant & HR Generalist 
(FULL-TIME 12 MONTH CONTRACT—NO BENEFITS)
Reports to: CEO & Director of Operations

Summary
Reporting to the Director of Operations, the Executive Assistant and HR Generalist will be responsible for coordinating and administering a variety of HR related functions including recruitment, on-boarding, benefits administration, and HR administration. The position will also support the senior management team with operations including planning events, liaising with physicians and community partners etc.

Job Duties

  • Executive Assistant Duties
  • Complete tasks for senior management as including scheduling and coordination for senior and all-staff meetings 
  • Responsible for petty cash and corporate credit card
  • Liaise with PCPs for physician updates and onboarding
  • Assist with facility issues including new projects, and emergency signage 
  • Plan and facilitate staff events
  • Coordinate requests for release of patient information with the Director of Clinical Services
     

HR Duties

  • Facilitate recruitment in collaboration with hiring manager process including posting jobs and reviewing applications, scheduling interviews, preparing interview questions, and preparing employment agreements 
  • Oversee on-boarding including creating new profiles/files, preparing orientation schedule, assigning learning material and tracking progress 
  • Maintain human resource records data bases of staff files, licenses and certificates and staff lists
  • Administer and report on staff training via learning management software (LMS)
  • Administrative responsibilities for employee benefits program including adding and removing employees and updating information
  • Coordinate tasks related to employee leaves including updating files, changing access, and updating lists
  • Support Health and Safety Committee 
  • Complete other duties and projects as assigned
     

Skills and Specific Job Requirements:

  • Computer competency: Windows, all Microsoft Office programs, Microsoft Teams, 
  • Excellent interpersonal skills
  • Prior HR experience 
  • Ability to keep and retain confidential information 
  • Problem solving and conflict resolution skills
  • Proficiency in verbal and written communications
  • Demonstrate strong organizational skills with the ability to prioritize and maintain a variety of activities
  • Ability to work independently with minimum supervision
  • Knowledge of the Family Health Team model an asset
  • Ability to work in fast paced, changeable environment, and be flexible
  • High degree of accuracy and attention to detail and internal communications
  • Exercises good judgment and shows a willingness to take on new challenges
  • Ability to work evenings, if required
  • Works well in a team environment and works collaboratively with all team members
     

Education and Experience Requirements:

  • Post-Secondary school diploma or degree in office or business administration an asset
  • Prior at a senior level preferably in a health care setting
  • Able to work flexible hours including evenings when required
  • It is a condition of employment that you receive the necessary vaccinations to protect against infection of COVID-19, or any similar infectious diseases, which may be recommended by governmental and public health authorities from time to time
