Overview
The Loyalist Family Health Team (LFHT) in beautiful Amherstview, Ontario is seeking a skilled, dedicated, and detail-oriented Administrative Coordinator. The LFHT is an interdisciplinary team of health professionals and administrators working collaboratively to provide high quality, comprehensive primary care to approximately 11,000 patients. The Administrative Coordinator has a diverse range of responsibilities including scheduling, assisting with orientation and training of new employees, facility management, workplace safety, website design and maintenance, organizing staff events, supporting committees, programs and direct service delivery, bookkeeping including payroll, communicating with patients, and working collaboratively with the Executive Director on all aspects of Family Health Team administration. The successful candidate will possess excellent time-management and organizational skills; the ability to set goals and to plan and coordinate multiple project/work initiatives effectively; the ability to work collaboratively as part of an interdisciplinary team with demonstrated flexibility and willingness to adapt to assist and support others.

Main Responsibilities

  • Works closely with the Executive Director to address human resources including, but not limited to, orientation of new staff, assisting with the recruitment process, analysis of benefits options, and supporting the creation of policies and procedures
  • Works to support program and service delivery, including assisting with running queries and searches within the Electronic Medical Record (EMR), making reminder calls for patients, sending mailouts, and occasionally rescheduling patients
  • Communicates with patients, including being responsible for website updates, designing posters and PowerPoint presentations to promote programs, services, or office closures/clinic updates
  • Prepares deposits and payroll for staff. Coordinates benefits and RRSP administration. Manages all accounts receivable and payable, government remittances, audit preparation, and submission of GST refunds. Ensures that invoices and cheques are appropriately approved and signed off
  • Coordinates and prepares team schedules. Manages scheduling of office space, team functions and training, and organizational meetings
  • Liaises with vendors to ensure competitive pricing and resources for the clinic and with regards to maintenance including EMR, internet, phone, and clinic space
  • Serves as the Co-Chair of the Joint Health and Safety Committee; performs regular workplace inspections, keeps up to date on any legislative changes affecting the workplace, and makes recommendations to the Executive Director for safety improvements
  • Greets and redirects callers or visitors to the LFHT

Education, Experience, and Skills:

  • At least two (2) years of experience in office management/coordination
  • Minimum of Office or Business Administration Diploma, or equivalent
  • Extensive knowledge of financial principals and highly skilled in bookkeeping and payroll procedures
  • Strong interpersonal skills with the ability to work effectively both independently and as part of a team
  • Experience working as a frontline point of contact. Must be client-focused and service-oriented
  • Tech-savvy and able to troubleshoot tech related issues
  • Experience with OSCAR EMR an asset
  • Joint Health and Safety Certification an asset

Job Requirements:

  • Must have a valid driver’s license and access to a vehicle
  • Must be able to occasionally work outside of regular business hours
